Coach Niko processes personal data of (potential) participants and suppliers. We do this to best support people who want to quit smoking. We are committed to protecting your privacy and therefore handle this data with care. The statement below explains why and how we process personal data.

QUESTIONS
WHY WE PROCESS PERSONAL DATA
Personal data of (potential) participants, newsletter subscribers, suppliers, stakeholder/lobby contacts and/or interested parties can be processed by Coach Niko for the following purposes:
- Administrative purposes
- Communication about the assignment and/or invitations.
- Providing information in the form of newsletters and/or targeted contacts.
- Informing the person through news items.
- Carrying out or issuing an assignment.
- To improve our services.
Coach Niko is a healthcare provider. This means that in some cases we are obliged to request and verify certain personal data. For example, for participants in our program, we are required by the insurer to perform an identification check.
PROCESSING PERSONAL DATA
Personal data of (potential) participants, newsletter subscribers, suppliers, stakeholder/lobby contacts and/or interested parties can be processed by Coach Niko for the following purposes:
- Administrative purposes

RIGHTS OF DATA SUBJECTS
Under the GDPR, everyone has a number of rights:
Access: You are, of course, entitled to see what data we process about you. We are happy to explain how and why. You are also welcome to contact us at any time, and we will then create an export of the data we have on file.
Rectification and addition: If you believe we have incorrect data about you, please let us know.
Forgetting: You can have the personal data we hold about you deleted.
Restriction: If you believe we are processing your personal data unlawfully or incorrectly, you can restrict this.
Objection (opposition): You can object to the processing of your personal data by us or by one of our processors.
Portability: You can request your data from us so that we can transfer it to you, or directly to another party on your behalf. We may ask you to identify yourself before we can comply with such requests.
Human review of decisions: Coach Niko does not use automated decision-making. Your data is always processed by a human review.
You always have the right to withdraw your consent for us to use your data. To exercise your rights, you must contact us using the email address or telephone number above. If, after contacting us, you believe your rights have been violated, you have the right to file a complaint with the supervisory authority, the Dutch Data Protection Authority.
PROVISION TO THIRD PARTIES
Coach Niko engages service providers to perform certain tasks. These are not recipients of personal data, but processors.
For example, we use third parties for:
- Maintaining the internet environment for the GDPR program.
- Maintaining the (financial) administration.
- Google for processing email, route & analytics data.
- Providing newsletters and invitations.
We never share personal data with other parties with whom we do not have a processing agreement. We naturally make the necessary arrangements with these parties to guarantee the security of your personal data. Furthermore, we will not share the data you provide with other parties unless this is legally required and permitted. We may also share personal data with third parties if you give us written permission to do so.
We do not provide personal data to parties established outside the EU.
Within the EU
MINORS
We only process personal data of minors (persons under the age of 16) if written permission has been given by the parent, guardian, or legal representative.
Coach Niko does not store personal data longer than necessary for the purpose for which it was provided or is required by law.
Coach Niko is a healthcare provider. This means that we are obligated to adhere to certain (legal) retention periods, for example, those of the insurer.
The personal data of participants in our programs are stored by Coach Niko for the purpose of the above-mentioned processing(s) for the duration of the agreement and thereafter only in the (financial) administration for a maximum of 7 years.
Coach Niko retains the personal data of newsletter subscribers for the duration of their subscription.
Coach Niko retains the personal data of prospects, stakeholder/lobby contacts, and/or interested parties for the duration of their subscription, unless they indicate they no longer wish to be contacted by Coach Niko.
We have implemented appropriate technical and organizational measures to protect personal data against unlawful processing. For example, we have implemented the following measures:
- We store personal data in a secure digital environment.
- All persons who can access your data on behalf of Coach Niko are bound by confidentiality.
- We maintain a username and password policy on all our systems.
- We pseudonymize and encrypt personal data if necessary.
- We back up personal data to enable recovery in the event of physical or technical incidents.
- We regularly test and evaluate our measures.
- Our employees have been informed about the importance of protecting personal data.
