To do this effectively, we need a clear framework for our work together. These Terms and Conditions are here to ensure there are no surprises; they explain what I do for you, what is expected from your side, and the administrative "rules of the road" regarding our sessions. By being clear about these details now, we create the best possible environment for your success.

General Terms and Conditions
Coach: Coach Niko, represented by Nikolaos Kyladinos, a KABIZ-registered smoking cessation professional.
Client: The natural person receiving smoking cessation care, or their legal representative.
Agreement: The treatment or coaching contract (behandelingsovereenkomst) between the Coach and the Client.
Main Contractor: The organization acting as the primary contract holder for insured care trajectories.
EPD: The Electronic Patient Dossier used for secure medical record-keeping.

2. APPLICABILITY
These terms apply to all offers, intake interviews, and coaching trajectories provided by Coach Niko.
By scheduling an intake or signing a treatment agreement, the Client explicitly accepts these terms.
3. SERVICES & PROFESSIONAL STANDARDS
I provide intensive behavioral support for smoking cessation in accordance with the Care Standard for Tobacco and Nicotine Addiction 2025.
The standard individual trajectory consists of 7 sessions over a period of approximately 3 months.
The total direct guidance duration is a minimum of 3 hours.
Support is primarily delivered via telephone or video call.
4. INTAKE & HEALTH SCREENING
The agreement is officially concluded after an intake interview of approximately 40 minutes.
A health & smoking profile (anamnese) is performed during the intake.
This screening is essential to ensure the program is safe and appropriate for your specific needs.
I reserve the right to refuse or terminate coaching if a Client’s medical situation requires specialist care or prescription medication beyond my scope of practice.
5. BILLING & INSURED CARE
Costs for smoking cessation care are generally billed directly to the Client's health insurer via the Main Contractor.
Smoking cessation care is included in the basic health insurance, with a Client typically entitled to one reimbursed attempt per calendar year.
The Client remains responsible for ensuring they have not exceeded their annual reimbursement limit; costs not covered by the insurer may be billed to the Client.
Sessions must be canceled or rescheduled at least 48 hours in advance.
Sessions canceled less than 48 hours in advance, or instances where the Client is unreachable (no-show), will result in a fee of €50.
Important: This fee is not reimbursed by health insurers and will be invoiced directly to the Client.
Repeated unavailability may lead to the early termination of the program.

7. PRIVACY, DOSSIER & RECORD RETENTION
I am bound by medical professional secrecy (beroepsgeheim).To ensure continuity and quality of care, I maintain a medical dossier for every client.
In accordance with the WGBO (Medical Treatment Contracts Act), medical coaching files are retained for 20 years from the date of the last treatment.
Neither party is permitted to make recordings or screenshots during video calls without explicit written consent.
As part of the national quality standards for smoking cessation, an external evaluation partner handles long-term evaluation and aftercare on behalf of the main contractor.
The Client will be contacted by email or telephone approximately 5 months and 12 months after starting the trajectory to record their smoking status.

My guidance is results-oriented but does not guarantee a smoke-free result.
My liability is limited to the amount paid out by my professional liability insurance.
Expiry Clause: All legal claims arising from this agreement shall expire 13 months after the day following the day the claim became due.
Clients are encouraged to discuss dissatisfaction directly with the Coach first.
If unresolved, the Client can access the external complaints procedure via SoloPartners and Geschillen in de Zorg (GIDZ).
All agreements are governed exclusively by Dutch Law.
Disputes shall be submitted to the competent court in Amsterdam.
